How Do You Track Franchise Leads All the Way to Signed Deals?
Capture source data on every lead, use clean CRM stages, and send stage changes back to Google Ads and Meta so you can see cost per signed deal by source.
What do you need to capture when a lead comes in?
Capture the campaign data and the platform click ID on the same record as the lead's name and phone number, at the moment of submission. If it is not captured then, you cannot recover it later.

Use hidden form fields that read the URL parameters (or a first-party cookie, so the values survive if the candidate browses before converting), and map every one to a CRM field. Meta's documentation says its click ID is case sensitive and must not be modified, and it should be sent in the format fb.[subdomain index].[creation time].[fbclid]. Track calls too, with a call tracking number that passes source data into the CRM.
What CRM stages should a franchisor use?
Use a small number of stages with clear entry rules, so the same lead would land in the same stage no matter which rep touched it. Here is the set we recommend as a starting point:
- New lead: submitted, not yet reached.
- Contacted: two-way conversation happened.
- Qualified: passed money, market, fit and timeline on the first call.
- FDD sent: disclosure document delivered and receipt tracked.
- Discovery day: visit or virtual meeting with leadership held.
- Approved: franchisor has approved the candidate.
- Signed: franchise agreement signed and fee paid.

How do you send franchise sales results back to Google Ads?
Upload your CRM stages to Google Ads as offline conversions, matched by GCLID and by hashed email and phone. Google calls the hashed-data version enhanced conversions for leads and describes it as an upgraded form of offline conversion import; it still recommends including GCLIDs whenever possible.
Timing limits matter in franchising because the sales cycle is long. Google's guidelines say standard offline conversions cannot be imported more than 90 days after the last click, and enhanced conversions for leads has a 63-day limit. Signed deals often land after that, so import earlier stages such as Qualified and FDD Sent, and treat the signed deal as a bonus signal.
The plumbing changed in 2026. Google's help center says that starting June 15, 2026, offline conversion and enhanced conversions for leads uploads move to the Data Manager API and are blocked in the Google Ads API, and it recommends Data Manager for new setups. If your CRM connector was built on the old API, confirm it has been updated.
How do you send franchise sales results back to Meta?
For Meta instant form leads, use the Conversions API for CRM: store the Meta lead ID on the CRM record and send an event each time the lead changes stage. Meta's specification asks you to send all stages, including the initial lead stage, with action_source set to system_generated and your CRM stage names as the event names.
Meta lists these requirements for its conversion leads optimization goal:
- It works only with Facebook and Instagram instant forms.
- The stage you optimize for should happen within 28 days of the lead.
- That stage should convert at between 1% and 40% of leads.
- At least 200 leads a month.
- Upload at least once a day.

How do you report cost per franchise sale by source?
Report spend, leads, qualified leads, FDDs sent, discovery days and signed deals by source every week, grouped by the month the lead came in. Grouping by lead month (a cohort) keeps a long sales cycle from making last month's spend look wasted.

What usually breaks franchise lead tracking?
The usual failure is not the ad platform; it is a small gap between the form and the CRM. Check these first:
- Hidden fields exist on the form but are not mapped to CRM fields.
- A redirect or embedded form strips URL parameters before the form loads.
- Reps create duplicate records by hand, so the record with the GCLID never moves stages.
- Broker and portal leads overwrite the original paid source on a returning candidate.
- Stages are skipped, so FDD Sent never fires an upload.
- Phone leads have no source at all.

Common questions
Should franchisors import signed deals or earlier stages into Google and Meta?
Both if you can, but earlier stages carry the weight. Signed deals are too few and too slow for bidding systems to learn from, while qualified leads arrive often enough and soon enough to shape targeting.
Does first-touch or last-touch attribution matter for franchise leads?
Store both. Many candidates click an ad, leave, and return weeks later through a search or a portal, and you need the first touch to see which channel actually started the conversation.
Can you track franchise leads without a developer?
Usually yes. Most form tools and CRMs support hidden fields, and both Google and Meta offer connectors for common CRMs, though someone still needs to test the full path from click to stage change.
